### 1. Purpose of This Document
This document establishes clear, actionable standards for communication across the team. It ensures consistency, professionalism, and strategic alignment in all forms of interaction within and outside the organization.

### 2. Core Communication Principles
Clarity, warmth, and professionalism are essential. Always tailor responses to the audience’s role and platform. Use encouraging, purpose-driven language. Internally, keep communication direct, results-oriented, and aligned with leadership expectations. Communicate with the **right authority level** to reduce inefficiencies and avoid diverting MAB leadership to low-impact discussions.

### 3. Tone and Style Guidelines
Maintain a focused and positive emotional state while writing. The quality of your thoughts shows in your tone. Use the recipient’s preferred language. Avoid robotic or copy-paste responses. Inspire through thoughtful wording, especially when referencing books, models, and services. In public replies, include a compliment when appropriate.

### 4. Language and Formatting
Write in English (LTR) or Arabic (RTL) depending on the audience. Avoid placing punctuation directly after links. Use full visible URLs. Keep formatting clean: concise paragraphs, clear headers, and bullet points where helpful.

### 5. Communication Channels
– **Telegram** is the daily operations channel — must be checked every workday.
– **Email** is only for formal external communication or sending finalized documents.
– **WhatsApp** is reserved for emergencies.

### 6. Response Time & Availability
Reply within 24 hours during workdays. Notify leadership if unavailable. Report targets daily, weekly, and monthly — auto-generated by ChatGPT if usage is consistent.

### 7. Handling Delays and Downtime
If inactive for more than 48 hours:
– Telegram message will be sent.
– If no response, WhatsApp follow-up will be issued.
– MAB assumes tech/personal issues before escalating.

### 8. Social Media Interactions
Monitor LinkedIn and key platforms daily. Highlight posts worth engaging with. Respond strategically to amplify visibility of MAB’s thought leadership and services. Follow CG tone, formatting, and emotional presence guidelines.

### 9. Content Review and Draft Approvals
Before submitting content to MAB leadership, first ask ChatGPT to critique and ensure alignment with CG. Use pre-approved structures for replies and posts, especially when discussing books, services, or strategic offers.

### 10. AI Usage and ChatGPT Guidance
In ChatGPT > Settings > “What would you like ChatGPT to know about you…”, include:

“Follow the CG (Communication Guidelines) for Kanzae team responses: https://kanzae.com/mabcg. Track progress of all tasks related to MAB Group using automated tracking system. Before submitting any content to MAB leadership, critique the content with ChatGPT to ensure alignment with the Communication Guidelines.”

Each team member must:
– Add their **personal CG** link (e.g., https://kanzae.com/FaithCG).
– If missing, create a draft and save it in the shared team Google Drive.

Each task must align with the member’s personal CG. If a new task doesn’t align but is valuable, propose an addition to your CG.

Daily, ask ChatGPT: **”Generate today’s report”** — includes completed, pending, and reflective notes. This is for **self-learning**, not micromanagement. Share with leadership only when support is needed.

Other habits:
– Share one key weekly learning.
– See all feedback as a learning opportunity.
– Use AI to improve structure, tone, and quality.

### 11. Tools and Platforms
– **Primary**: Telegram (daily ops), Salla (courses), Calendly (bookings)
– **Secondary**: WhatsApp (follow-up), Email (external formal use)

### 12. Final Notes
Team members are expected to:
– Actively contribute to MAB’s vision.
– Promote our services, mission, and methodologies.
– Take ownership of their goals.
– Maintain quality, professionalism, and timeliness.
– Share learnings and raise improvement ideas.
